ApexEdge Media Ltd ("we", "us", "our") is the data controller responsible for your personal data collected through https://propfirmhq.com ("the Website"). This Privacy Policy explains what data we collect, why we collect it, how we use and protect it, and what rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please read this document carefully.

Our designated Privacy Contact can be reached at privacy@apexedge.com.
As a media and editorial business, we are not required to appoint a Data Protection Officer (DPO) under Article 37 UK GDPR; however, we take data protection obligations seriously and have designated a Privacy Contact who handles all data-related enquiries and requests.

How We Collect Your Data
We collect personal data through the following means:
- →Directly from you: When you fill in a contact form, subscribe to our newsletter, or send us an email.
- →Automatically via your browser: When you access the Website, we automatically collect Technical and Usage Data through server logs, Google Analytics, and first-party cookies.
- →Via cookies and tracking pixels: We deploy first-party cookies for session management and preference storage, and third-party cookies for analytics and affiliate tracking. See Section 6 for full details.
- →From third-party analytics providers: Google Analytics 4 provides aggregated and anonymised traffic and behaviour data. We have enabled IP anonymisation on all GA4 properties.
Legal Basis for Processing
Under UK GDPR, we must identify a lawful basis for each processing activity. Our legal bases are:
| Legitimate Interests (Art. 6(1)(f)) | Analysing website traffic to improve content quality; fraud prevention; affiliate conversion tracking |
| Consent (Art. 6(1)(a)) | Sending marketing emails; placing non-essential cookies. You may withdraw consent at any time. |
| Contract (Art. 6(1)(b)) | Processing contact form submissions to respond to your enquiry |
| Legal Obligation (Art. 6(1)(c)) | Complying with tax, accounting, and legal record-keeping requirements |
How We Use Your Data
We use the personal data we collect for the following specific purposes:
- To operate and maintain the Website and ensure it displays correctly for your device and browser.
- To analyse aggregate user behaviour via Google Analytics 4 to identify high-performing content and improve editorial quality.
- To send newsletter communications to subscribers who have given explicit consent. Every email includes a one-click unsubscribe link.
- To respond to contact form submissions and customer service enquiries within a reasonable timeframe.
- To track affiliate referral conversions and calculate commissions owed to ApexEdge Media Ltd by partner prop firms.
- To detect and prevent fraud, spam, and abuse of our platform.
- To comply with legal obligations and enforce our Terms of Service.
We do not use your personal data for automated decision-making or profiling in a manner that produces legal or similarly significant effects on you.
Cookies & Tracking Technologies
PropFirmHQ uses cookies — small text files stored in your browser — to ensure the Website functions correctly and to gather analytics data. Below is a categorised summary of the cookies we deploy:
| Strictly Necessary | Session cookies for site functionality (theme preference, navigation state). Cannot be disabled without breaking the site. |
| Analytics (opt-in) | Google Analytics 4 cookies (_ga, _ga_*, _gid) — track pageviews, session duration, and traffic sources. IP anonymisation enabled. |
| Affiliate Tracking (opt-in) | Third-party affiliate cookies from prop firm partner networks to track referral click-throughs and attribute commissions. |
| Preference Cookies | Stores your dark/light mode preference locally for a consistent experience across sessions. |
On your first visit, a cookie consent banner will request your permission for non-essential cookies. You may withdraw or manage your cookie preferences at any time via your browser settings or by contacting us at privacy@apexedge.com. Withdrawing consent does not affect the lawfulness of processing carried out prior to withdrawal.
Affiliate Tracking & Third-Party Data Sharing
When you click an affiliate link on PropFirmHQ, a tracking identifier (typically a cookie or URL parameter) is passed to the destination prop firm's website to record the referral. This allows the firm to identify that the visit originated from PropFirmHQ and to pay us a commission if you subsequently purchase an evaluation. We do not pass your personal identity information to prop firms; the tracking mechanism is based on anonymised click identifiers only.
We do not sell, rent, or trade your personal data to third parties for their own marketing purposes. Limited data sharing occurs only in the following circumstances: with Google (Analytics and Ads measurement); with affiliate network platforms for commission tracking; and with law enforcement or regulatory authorities when required by law.
Data Retention Periods
| Google Analytics data | 26 months (GA4 default retention period) |
| Newsletter subscriber records | Until you unsubscribe, plus 30 days for processing |
| Contact form submissions | 12 months from date of submission |
| Affiliate tracking logs | 36 months for commission dispute resolution purposes |
| Cookie consent records | 12 months from date of consent |
Your Rights Under UK GDPR
As a data subject under UK GDPR, you have the following rights:
- →Right of Access (Art. 15): Request a copy of the personal data we hold about you.
- →Right to Rectification (Art. 16): Request correction of inaccurate or incomplete personal data.
- →Right to Erasure (Art. 17): Request deletion of your personal data where there is no overriding legitimate reason to retain it.
- →Right to Restriction (Art. 18): Request that we restrict the processing of your personal data in certain circumstances.
- →Right to Data Portability (Art. 20): Receive your personal data in a structured, machine-readable format where processing is based on consent or contract.
- →Right to Object (Art. 21): Object to processing based on legitimate interests at any time.
- →Right to Withdraw Consent: Withdraw consent for marketing emails or non-essential cookies at any time without detriment.
To exercise any of these rights, contact us at privacy@apexedge.com. We will respond within 30 days. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have handled your data unlawfully.
International Data Transfers
As a UK-based company, your personal data is primarily processed within the United Kingdom and the European Economic Area (EEA). Where data is transferred outside these regions — for example, to Google's servers in the United States — we ensure appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) approved by the UK Information Commissioner's Office.
Children's Privacy
The Website is not directed at individuals under the age of 18. We do not knowingly collect personal data from anyone under 18 years of age. Prop firm evaluations and funded trading accounts require participants to be adults, and all content on PropFirmHQ is produced for an adult audience with prior trading experience. If you believe we have inadvertently collected data from a minor, please contact us at privacy@apexedge.com immediately and we will delete such data.
Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our data practices, legal requirements, or the services we offer. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review this Policy periodically. Where required by law, we will notify newsletter subscribers of significant changes by email.
